Which data fields does Trainual use from my HR or payroll system to create groups?
During an HR or payroll system sync, Trainual can auto-create groups based on:
-
Job title → Role group
-
Department → Department group
-
Location → Location group (based on city + state fields)
📝 Please note: If a group with the same name and group type already exists, Trainual will use the existing group instead of creating a duplicate. A matching group name with a different group type will be treated and created as a separate group.
When do group changes sync after the initial HR or payroll integration with Trainual, when I've turned on "auto-create groups"?
During the initial HR or payroll import/sync, users get added to the correct groups based on their synced data, so you can target their training right away. After that, group changes generally only come through when a broader user record change is being processed — group changes by themselves don't trigger one.
What happens to group syncing when I turn off group creation?
When you turn group creation off (via the three-dot menu on the "Manage users" page), Trainual stops all group-related sync activity, which means:
-
No new groups will be created.
-
People won’t be added to groups during syncs.
📝 Please note: Turning group creation back on doesn’t retroactively create any missing groups for people already synced to Trainual.
Can I turn on group auto-creation for only some group types (like role groups) and not others?
No — group auto-creation is all-or-nothing. You can't enable it for one group type (like role groups) while disabling it for another (like department groups).
What should I do if groups aren't being created or if I'm seeing duplicate groups created?
If groups aren’t being created (or you’re seeing duplicates), reach out to our support team for additional assistance with troubleshooting the issue.
