  • Connectors x AI assistant are available on all training and operations plans.

  • Admin+ permission levels can always enable and connect their own apps to Trainual AI. Non-admin teammates can only use the connectors feature if an Admin enables the setting for it at the account level.

  • 📥 Trainual first, connected apps only if you say so. If the answer isn't documented in Trainual, the assistant asks to check your connected apps. Say yes, and it'll search and offer to bring what it finds into Trainual, so you can unify your knowledge that much quicker (always with your OK, of course 😉)

  • 🪄 Inspired by your files, built for Trainual. Point the assistant at a connected file and get a fresh, editable training document written in Trainual's format.

  • 🔄 Keep your current pages up-to-date. Ask the assistant to update an existing Trainual page using a file from a connected app, and it'll handle the edits.

Set up connectors: 

From Admin setup to individual app connections, here's what it takes to get connectors up and running for you and your teammates. 🏃

🔹 Step 1: Access considerations for connectors. 

Before you turn this on, here are two things worth knowing...

🚪 Admin-gated access.
This feature is off by default. Admins automatically have access to enable and connect apps. Every non-admin user remains "locked out" of this feature until an Admin turns on the “Allow non-admin users to connect their apps” account setting.

🌐 No org-wide linking.
Each person must connect their own apps from their My Settings → Integrations & AI tab to start using this feature with the apps Admins have made available.

🔹 Step 2: Enable connections for your Trainual account.
  1. Expand the "Account" options from the left-hand navigation menu.
  2. Choose "Settings."
  3. Open the "Trainual AI" tab.
  4. Toggle on the "Allow non-admin users to connect their apps" setting if non-admin users should be able to use this feature.

  5. Toggle on any of the listed apps under the "Connected apps" section to make them available for your team.

  6. Hit the "Save" button to set it live.


📝 Please note: You can revisit these settings anytime to toggle on new apps, turn off existing ones, or change non-admin access as your team's needs change.

🔹 Step 3: Connect your own apps to your AI assistant. 
  1. Click on your avatar from your top navigation bar.
  2. Select "My settings."
  3. Open the "Integrations & AI" tab.
  4. Click "Connect" under the “AI settings” → “Connected apps” section.

  5. Hit the “Open windowbutton on the pop-up to log in to your app.
  6. Select what you’d like the connection to access, then click “Continue.”
  7. ClickFinish setup” on the confirmation pop-up to complete the connection.


📝 Please note: You can unlink your own apps at any time by hovering over the app's name and clicking the "Disconnect" option.

The assistant checks Trainual first. If it can't find the answer there, it'll say something like: "Do you want me to search your connected sources too?"

Once you say yes, it searches your connected apps and finds any matching policies. Let's say, in Google Drive, in this example.

Create a document. "Turn that policy from Google Drive into a Trainual document I can assign to new hires — keep it skimmable."

The assistant uses the connected file as source material to draft a new, editable document — written the way you asked for it and adapted for and created inside your Trainual.

Edit it further.

"Now add a 'Submitting receipts' section to that new info, using the steps from our 'Expense Receipts guide in Google Drive."

The assistant pulls in the extra connected context and updates to add in for you, no need to start over!

FAQs:

Does any of our data leave Trainual when using connectors and the AI assistant?
Trainual uses OpenAI’s paid API to generate helpful, accurate responses and carry out tasks. The content you submit is processed securely and temporarily — it is not stored or logged beyond 30 days, or used to train OpenAI’s models whatsoever. OpenAI’s ongoing model improvements occur independently of Trainual customer data.

For connectors specifically, Trainual uses Merge Agent Handler as a secure intermediary between Trainual and your connected apps, on top of OpenAI.


What does a connected file bring over, and what doesn't it bring over?
When the AI assistant creates content from a connected file, it extracts the info and rebuilds it to be optimized for Trainual's native editor and styling — preserving formatting where possible and creating strong wording and structure (not a copy). 

Summarized, that looks like this:

What training content types can I create and edit while using connectors?

Connectors work at the document and page level — creating new documents and editing existing pages.


Will a connected app auto-import, auto-create, or auto-edit my training content?
No. Connector searches, creations, and edits are not the default. Your AI assistant only reaches into a connected app when you either name the app explicitly or when it can’t find the answer in Trainual, and you give it permission to check your linked apps. This is by design, so you stay confident and in control of your training.


How are content creation and editing permissions handled with connectors?
Your AI assistant's replies already respect user permissions and content access levels — connectors just add another layer to that: users can bring in sourced content to add to Trainual, only if they have content creation permissions in Trainual.


Why not just use my current connector app to create, build, or edit my training files? 
Other AI tools can read a file, but you'd still need to copy-paste the result back into Trainual by hand. Trainual's connectors go search → create → edit in one flow, in-app.
