✅ Fact: Inviting your People to Trainual is as easy as ....
But what about strategically launching Trainual to your people in a way that maximizes buy-in, engagement and efficiency? 😲
Well, that's easy too! Check out these 3 steps to delivering a star-eyed introduction to Trainual. 🤩
Note: This strategy guide focuses on delivering Trainual to your broader audience of General Users. To see what they see, checkout our glossary of terms for more on the 'My Desk' experience.

Now, lets get to the good stuff....
Step 1: The Review Process 🤔
Just as it sounds, in the review process you'll make sure the tangible product (aka Subjects, Topics and Steps) you'll be delivering to achieves the desired outcome.
You'll know you are ready for this process when:
You have several Published Subjects, ready to be assigned
You have one or more Role(s) setup
You have a clear understanding of the message you want to deliver to specific people, and the purpose that message will serve
Some examples of what we mean:
Because, Onboarding 🎉
All Field Techs
To refresh your field techs on safety procedures and solve the pain-point of open tickets!
See what we did there? We defined what people (who) will receive specific subjects (what) to achieve the desired outcome (why).

If you are asking yourself, "What's the difference between Roles & Teams?"
🔗 Check out this help article for more information.
In summary, you'll want to confirm all these areas are ready for your People:
✅ Subjects are Published
✅ Subject Statuses are Finished
✅ Role(s) are created with published subjects tagged
✅ Teams are defined, considering how you'll run reports later
✅ Manager's are setup with the correct permission level and Team
✅ Leadership profiles have avatars and bio's completed
With these boxes checked, you can confidently step right into inviting your People in the next step.
Step 2: The Communication Process 🗣
This is the part where we get very excited! For team buy-in, let your people know what's in it for them. Here you'll want to bring all the reasons why you chose to partner with Trainual front-of mind.
Not sure where to start? Here are a few reasons why, from your Coaches:
With the value defined, we recommend a written communication to your people.
When you introduce Trainual, let your people know:
When they'll get an invite
What they should do when they log-in
What the next steps are
Option 1 -
Hey Team 👋🏼 ,
Great news! We've decided to partner up with Trainual to centralize all of our standard operating procedures, policies, onboarding, and training into one place. Please look forward to an email from Trainual with an invite link during the week of MM/DD.
As soon as you create your account, you'll see one subject assigned to you named [Insert Subject Name]. That subject will teach you how to use the platform, let you know why we chose to partner with Trainual, and cover what you can expect going forward.
We ask that everyone complete this initial Trainual Subject in your account within 7 days. This will prepare us for great conversation at our team meeting on MM/DD/YY at MM: MM am/pm.
We look forward to hearing how it went! 🙂
[Insert Signature Line]
P.S. If you don't see an invite in your inbox, check your Spam folder, just in case. If it's it's not your inbox or spam folder, email [insert contact] and we will resend the invite!
Option 2 -
[Insert company name] is pleased to announce the rollout of our new knowledge, training, and ongoing education software system, Trainual, for use by all team members!
We are confident that by creating, sharing, managing, and maintaining company policies, procedures, and other valuable information in one secure system, you will be equipped with the tools and resources needed to succeed in your role. Our goals are also to:
The rollout is scheduled for [00/00/00] on which date you will receive an email invitation directing you to complete the profile activation process. Please contact [Insert name] if you do not receive your invitation by the day's end on [00/00/00].
We expect you to familiarize yourself with Trainual, so please direct your initial questions to [Insert name] at [insert content method].

Now you are ready to send out invites. 🎉
Don't forget to add a role to the invite so that your people get all their content on My Desk as soon as they log-in.
Oh, and did you know you can use Bulk User Invite to get all your people added to Trainual quickly? Efficiently: done! 🙌🏼
Step 3: The Scaling Process 📈
So, how do we scale this thing? Start with what you already have in place and build up from there.
Do you have live (synchronous) training on the schedule?
👍 Record that meeting for content.
Do you have old video recordings with team meetings or trainings?
👍 You'll need to upload to a site (such as YouTube or Vimeo) to get a URL for that video. Check out Embedding Video Into Your Account for more instruction on this!
Do you have Word, PowerPoint, or other docs that capture your current (or old) process?
👍 Copy and paste that content into your Trainual step, then edit the process to make sure the content is up to date.

Then what? In one word: Feedback.
Documentation in your business is never "done." As you scale, evolve, pivot, change and grow.... so will your content. One great way to continue leveling-up your content is to foster a culture of giving feedback.
How? Start by asking for it and establishing a system for tracking it.
💪 Coaches Tip: Establish a method for collecting feedback on your subjects, and expect to iterate on your content. You can:
Embed a survey (like Typeform or Google Form)
Link a gDoc or gSheet
Include an email address and instructions for feedback
Use Written Response Test questions within your Subject
