Build a new meeting:

Your first Trainual-run meeting is just four steps away. Here's what you need to start.

๐Ÿ”น Step 1 โ†’ To begin, you'll need to set up some meeting basics.

  1. Expand "Operations" from the left-hand navigation menu.

  2. Select "Meetings."

  3. Hit the "New meeting" button.

  4. Fill out the basics.

    • Title. Provide a descriptive name for your meeting.

    • Date & time. Set when your meeting should take place.

    • Frequency. Select how often your meeting repeats: daily, weekly, monthly, every weekday (Monday to Friday), or custom.

      • ๐Ÿ”ฅ Tip: If you just need a standalone, one-time meeting, be sure to toggle off the "Recurring meeting" setting.

    • Time zone. Your time zone will display by default, but adjust as needed.

๐Ÿ”น Step 2 โ†’ Decide who should attend your meeting. 

  1. Use the โ€œAttendeesโ€ search bar to add attendees.

  2. Select all desired users and groups.

๐Ÿ“‹ Agenda Outline the basic structure of your recurring meetings that remain the same across all meetings in the series. Use this to organize your meeting flow, to set expectations, and to keep things focused.

๐Ÿ—ฃ๏ธ Discussion topics Specify the items you and your attendees need to talk through during each individual live meeting. Unlike agenda items, these change from meeting to meeting based on what's relevant.
  • Would we like to go over the latest Q3 client retention report?
  • Revisit the new onboarding timeline.
๐Ÿ’ฅ Action items Capture tasks or follow-ups that result from your meeting. Each item can be assigned to an owner with a due date to ensure accountability after the meeting ends.
  • Finalize the sales deck by Friday for the All Hands meeting.
  • Submit PTO to HR.
๐Ÿฅ… Scorecard Frame recurring KPIs within your meeting so the team can see how key metrics are trending at a glance, and quickly identify what, if anything, needs attention.
  • Link something like "Weekly Sales KPIs" scorecards to discuss items like close rates, pipeline values, and outreach volumes.
๐Ÿ† Goals Keep the bigger picture front and center with visibility into what your people and teams are working toward and where progress stands. Unlike scorecards, goals show whether you're on pace to hit defined, specified targets.
  • Link something like "Q2 Revenue Increase" or "Reduce Churn by 10%" goals to review progress during the meeting

๐Ÿ“ Please note: Meeting invites will be sent via email and in-app notifications.



Connect an existing calendar:

Pull in events, times, and attendees from your own Google (Gmail) or Microsoft (Outlook) calendars using this integration to manage your meetings in Trainual.

  1. Expand "Operations" from the left-hand navigation menu.
  2. Select "Meetings."
  3. Click the "Connect Calendar" button in the top banner.

  4. Hit the "Connect your account" button under the "Meetings" โ†’ "Calendar integrations" section of your "My settings."

  5. Select and approve permission and sync details. You'll see a confirmation notification in Trainual once the connection is active.
  6. Navigate back to the โ€œMeetingsโ€ page.
  7. Decide what gets imported using the "Import new meetings" pop-up window.
    • Keep the meetings to import selected in the checkbox.
    • Unselect the meetings you wish to dismiss for now. These will move under the "Dismissed" tab. 

  8. Hit the โ€œImport # meetingโ€ button to finalize your first import. 

 

๐Ÿ”„ To import more meetings post setup, simply click the calendar icon in the top right corner of the meetings page, and repeat steps 7 and 8


๐Ÿ“ Please note:

  • The email on your calendar must match the one used on your Trainual profile.
  • Connecting a calendar will bring over all your meetings that:

    • Have you as the owner of the calendar invite.

    • Are on your primary calendar

    • There are at least 2+ attendees on.

  • Your ongoing meeting updates and edits will stay aligned in both Trainual and on your synced personal calendar.



Prep for an existing meeting: 

When you open an upcoming meeting, you'll see a banner at the top of your screen letting you know you're in "Preparation mode." This is your dedicated space and time to add anything you may need before a meeting goes live.

  1. Expand "Operations" from the left-hand navigation menu.

  2. Select "Meetings."

  3. Navigate to a meeting.

    • Use the โ€œUpcomingโ€ tab to see your scheduled meetings or the calendar on the left to navigate to a specific date.

  4. Add to this existing meeting. Enter any agenda lines, discussion topics, or action items, and link scorecards or goals. Your changes save automatically.

Run a meeting: 

Ready to go live? Follow these steps to start your meeting and explore the tools you'll have at your fingertips once your session has started.

  1. Expand "Operations" from the left-hand navigation menu.

  2. Select "Meetings."

  3. Navigate to a meeting.

    • Use the โ€œUpcomingโ€ tab to see your scheduled meetings or the calendar on the left to navigate to a specific date.

  4. Hit the "Start meeting" button next to the meeting title.



๐Ÿ› ๏ธ Tools available during a live meeting

Everything you have set up in your meeting template and/or have added during preparation mode carries over into the live session, plus these available tools:

  • โฑ๏ธ Timer. Start a stopwatch or set a countdown by using the timer in the "Agenda" area. This is useful for instances like time-boxing topics or for giving each speaker equal time to present.
  • โ†—๏ธ Defer or move items. Click the three-dot menu (โ‹ฎ) next to a discussion topic or action item and select "Defer to future meeting" to push them out or select "Move to different meeting" to add them to a specific meeting.
  • โŒ Delete. Remove agenda lines by hovering over a line item and hitting the trash can icon, or remove discussion topics and action items by clicking the three-dot menu (โ‹ฎ) and choosing "Delete."
    • ๐Ÿ“ Please note: This action is permanent and cannot be undone.
  • ๐Ÿ“– Summary. View all the completed items from this session and add any additional key takeaways, decisions, or final notes to share with attendees.
  • ๐Ÿšช Leave view. Step out of the live meeting to find something else in Trainual. Hit the "Back to meeting" button to return when you're ready.
  • ๐Ÿ End & recap. Close out the meeting and review all sections by using the "End & recap" button. You can make any other final adjustments before wrapping up.


๐Ÿ“ Please note: Any discussion topics or action items not checked off during a live meeting will automatically roll over into the next meeting in the series.

Favorite a meeting: 

If you have meetings you access and contribute to frequently, why not favorite them for quick access? Favorited meetings appear in a dedicated "Favorite meetings" section at the top of your meetings sidebar so they are always one click away. 

To favorite a meeting โ†’ click the star icon (โญ) next to the meeting name. Click it again at any time to remove it from your favorites list.

Edit an existing meeting template:

  1. Expand "Operations" from the left-hand navigation menu.

  2. Select "Meetings."

  3. Navigate to a meeting.

    • Use the โ€œUpcomingโ€ tab to see your scheduled meetings or the calendar on the left to navigate to a specific date.

  4. Open the meeting you'd like to edit. 
  5. Click the three-dot menu (โ‹ฎ) next to the meeting title and choose "Edit."

  6. Make your adjustments to any of the following: Title, date and time, frequency, standalone vs recurring, time zone, sections to include on your template, owner of the meeting, or attendees.

  7. Hit the "Save changes" button to apply your changes. 

 



Filter the view of your meetings: 

Use the filters at the top of the meetings page to find and organize your meetings. The same filters are available on both the "Upcoming" and "History" tabs.

"My meetings" to display the ones you're an attendee or owner of.
"All meetings" to show every meeting you have visibility into.


๐Ÿ”Ž Owner

"All" to see every meeting from any owner.
"People" to select a specific person or group to see only the meetings they manage.


Delete a meeting: 

  1. Expand "Operations" from the left-hand navigation menu.

  2. Select "Meetings."

  3. Click the three dots (โ‹ฎ) next to your meeting's title.

  4. Choose "Delete" from the drop-down menu.

  5. Decide what you'd like to delete from the pop-up window.

    • This meeting.

    • This and all future meetings.

    • All events and history.

  6. Decide if you'd like to also remove the meeting from your linked calendar.

  7. Hit the "Delete" button to finalize your choices.

FAQs:

What does "two-way sync โ€ mean when integrating a calendar to Trainual meetings?
Once connected, your meetings will...

  • Be available to import in Trainual from your connected calendar.

  • Be sent to your personal calendar when created in Trainual. 

  • Reflect edits on both the calendar event and in Trainual, regardless of where the edit or change was originally made.


How are meeting attendees sorted?

Attendees are listed alphabetically, whether they were added individually or as a group.


Can I connect training content to my meetings?

Are meetings available on the Trainual mobile app?
