UKG Pro x Trainual Integration

Learn how to quickly onboard your teammates by connecting UKG Pro profile information to Trainual.

Accelerate your onboarding by using the UKG Pro x Trainual integration to set up and invite your people to Trainual so they can start their training ASAP.


👉 Before you start:

• This is a two-part setup guide that involves actions within UKG Pro and Trainual.

• The UKG Pro x Trainual integration is only available under select Trainual subscriptions. Reach out to support directly for more information.

• For set up, you will need an Admin+ permission level in Trainual and an administrative access level in your UKG Pro platform.

Part 1 — Connecting UKG Pro to your Trainual account:

1. Reach out to "support@trainual.com" to request access. 
2. Expand the "Account" options from the left-hand navigation menu and choose "Integrations."

3. Search for "UKG Pro.” 

4. Hit the “Connect your UKG Pro account” button to begin. 
   
   

5. Review the Terms of Service and select “Continue” to agree and proceed. 
   
   

6. Grant Trainual permission to access your UKG Pro data by clicking “Continue.”
   
   

7. Create a UKG Pro service account for Trainual by following the provided instructions and entering the following info into the Trainual pop-up window:
   
   1. Web Service URL.
   2. Username. 
   3. Password. 
   4. Customer API Key.
   5. User API Key.
      
      
8. Hit the "Connect" button to proceed. 
9. Select a UKG Pro account to connect from the next pop-up page.
10. Wait 10 minutes for the connection to become active. Once the integration sync has been finalized, you will see your integration page listing displayed like this: 
    
    

📝 Please note: If you run into an error message while setting up a service account for Trainual, it's likely because the "organization data" points were not selected correctly. Re-review this part and make any necessary updates. If you're still experiencing trouble after, please contact UKG Pro support.

Part 2 — Importing teammate data and updating user info:

1. Expand the Account options from the left-hand navigation menu and choose "Manage users."
2. Click the drop-down menu arrow to the right of the “Add teammate” button and select the “Add with UKG Pro” option.
   
   
   
3. Hit the checkboxes to the left of each teammate you’d like to add to Trainual.
4. (Optional) Use the dropdown menus to the right of each person's name to select a different email address and permission level for your employees.
5. Decide how you'd like to add your teammates into Trainual:
   
   Choice 1: "Import and invite" to send everyone selected an invitation email now.
   
   Choice 2: “Import & invite later” to have everyone selected added to Trainual but not be sent an invite email yet. You can follow up later to send these out.

📝 Please note: The UKG Pro integration is not automated. When you add someone to your UKG Pro account, you’ll need to repeat the steps in part 2 of this process.
