Permission Levels

Decide what people can do in your Trainual account.

We all have our jobs to do, and in Trainual, it's no different. Giving someone the proper permission level ensures that your content maintains a high level of quality and that team members can only access what they need.

Below, we'll go over each permission type, what it does and does not allow, and who you think you should give it to. Remember, ALL permission levels allow users to consume assigned content and have access to an individual Home page! πŸ“–


Billing Admin

The Billing Admin can manage all account settings and billing and subscription plan information. This is the top-level permission and is ideal for anyone who needs full access to your Trainual account.

A Billing Admin can:

  • Add, archive, and delete people and designate permissions.

  • Add, edit, and assign any groups.

  • Add, edit, publish, and assign subjects.

  • Add and update "Billing & plan" information.


Admin

The Admin permission allows all the same abilities as the Billing Admin except the ability to manage "Billing & plan" information.

πŸ“ Please note: You don't have a limit (other than seat licenses) to the number of Billing Admins or Admins you can have in your account. However, we strongly recommend being careful about whom you give Admin permissions.


Manager

This permission works in tandem with the team groups feature, which you can learn more about here. The Manager's permission is ideal for anyone who oversees one or more teams using Trainual.

A Manager can:

  • View and manage people in the team group to which both the team member and the Manager are assigned. That includes adding, archiving, deleting, and designating a certain level of permissions for the teammates they oversee.

  • View user completion data for subjects assigned to their team(s).

  • Add, edit, publish, and assign subjects.

  • Access the latest activity, subjects, templates, people, reports, and Home sections of the platform.

A Manager cannot:

  • View or manage people who are not in their team group.

  • Move or reorganize subjects between content pages.

  • Add, edit, or assign groups on an account.

πŸ“Note: A Manager can only access content and generate report data for subjects they are directly assigned to. They can also only see people who are directly within their team group(s).


Author

This permission allows the user to participate in the creation of content. The Author's permission is ideal for subject matter experts who will create and/or vet content.

An Author can:

  • Create and publish new subjects.

  • Access, add, and edit templates from the Trainual template index page.

  • Access subjects and the Home page.

An Author cannot:

  • Assign subjects.

  • Edit subjects that have yet to be assigned to them.

  • Move or reorganize subjects between companies, policies, and processes.


Contributor

Similar to Author permission, this permission allows a user to participate in the creation of content without the ability to publish it. The Contributor permission is ideal for subject matter experts who simply contribute content.

A Contributor can:

  • Edit subjects that have been assigned to them, including Trainual templates.

  • Change subject status to "Pending Review."

  • Access the Home page.

A Contributor cannot:

  • Create new subjects.

  • Add templates from the Trainual template index page.

  • Publish or assign subjects.

  • Edit subjects that have yet to be assigned to them.

  • Move or reorganize subjects between companies, policies, and processes.


General

This is the most basic permission level offered and is ideal for those who will simply be in the account to consume the content assigned to them (aka a trainee). A complete overview of this experience can be found here.

A General user can:

  • Complete assigned content.

  • Access the Home page.

A General user cannot:

  • Edit content or user profiles in any capacity.
