Add New Teammates

Learn how to send team invites for new trainees and customize when the invite is sent, plus the time period they'll have access to Trainual.

Your people are the whole reason for using Trainual, right? 👀 Here, you’ll learn how to enter their information and welcome them aboard by sending out an invite during a chosen time period and allowing access to Trainual for the duration of their tenure.

📝 Please note: Only Billing Admins, Admins, and Managers can invite new users.

To add a new person to your Trainual:

  1. Expand the "Account" tab from the left-hand navigation menu and then select "Manage users."

  2. Click on the drop-down arrow on the "Add teammate" button on the top right-hand corner of the page

  3. Select "Add teammate" from the menu options.

  4. Fill out the required fields by adding the person's full name, email address, and selecting the desired permission level.

  5. Choose the timeframe that works best for sending this invite to the trainee.

  6. Hit the "Add" button on the bottom right-hand corner of the "Add teammate" pop-up window to push through the invite to your teammate.

Once the invite is sent out, your teammate will receive an email to the address on file with an included link that sends them directly to the company Trainual.

You will have three options for choosing when to send out an invite.

To provide temporary access to Trainual:

Every company has different types of employment and training needs, with only a small window between onboarding and offboarding. That's where temporary access can help!

Before sending out a Trainual invite, navigate to the "Advanced" section of your "Add teammate" pop-up window and schedule this trainee to be automatically archived on the date of your choosing.


I have a Manager level of permission and cannot see a team member I just added; what happened?

Teammates with the Manager permission level can only view employees assigned to the same team as them (which is a type of group). Double-check with your account Admin that your trainee was set up correctly under your group.

Can Trainual invites be branded or customized?

No. If this is something you'd like to see added in the future, please send us your feature request and ideas.
