Getting Started With People & Groups in Trainual

Learn how to add, organize, and manage your people by setting up groups for easy knowledge efficiencies.



Welcome to Trainual! πŸ‘‹πŸ˜Š This guide will help you learn how to set up groups, add and organize your people, and manage teammates in only four easy steps.

  • The features listed here are available under all Trainual plans.
  • The information below is best suited for new Admins. For more specifics around which areas of the account and pieces of content your employees can access, review their permissions and subject content access.

 



(Step 1) Identify groups:


  1. Determine your team structure.
    • Start by outlining the different groups within your organization (think roles, teams, departments, etc.). Consider...
      • What roles already exist?
      • How do they interact?
  2. Create your groups in Trainual.
    • Navigate to the "Groups" tab from your left-hand navigation menu.
    • Click the β€œCreate group” button.
    • Name each group based on your earlier assessment (e.g., β€œAccount Executive” or β€œSales Team.”)
  3. Delegate group management.
    • Help foster a sense of shared accountability for the training process by delegating responsibility and content management to group managers.



(Step 2) Outline responsibilities:

    1. Define your group types.
      Outline specific responsibilities for each group and consider what each group needs to be trained on. This could include...
      • Key tasks or projects.
      • Training modules relevant to their roles.
      • Performance metrics.
    2. Document those responsibilities.
      • After creating a brief description for each group, detail job-specific expectations by adding responsibilities
      • Use this info as a reference when creating and assigning content later. πŸ“š
     

    (Step 3) Add teammates:

      1. Add team members to your Trainual account.
        • Under β€œAccount” in the "Manage users" section, click the β€œAdd teammate” button and complete all the prompts on the pop-up screen. 
        • This is great to do straight away, even if you're planning to send invites later.
      2. Consider a bulk import
      πŸ“ Please note: Want to stage people in your account but are not ready to give them access to your Trainual just yet? You can always import now and invite later


      (Step 4) Set up your org chart:

        1. Locate and open your org chart page.
          • It is located under the "People" tab on the left-hand menu.
          • This is your visual representation of the hierarchy of your organization.
        2. Arrange team members.
          • Clearly define your organization's reporting structures and relationships.
