Export and Print Content PDFs

Learn how to digitally save your trainings in a PDF format or physically print them out at the subject or topic level.



Access your Trainual content from anywhere by exporting digital or physical copies. You and the team can confidently create different versions of your content offline before approving a final draft or even back up your files to a cloud storage platform for historical reference. However you choose to use this option, you'll certainly make the most out of this tool!


👉 Before you start:

  • This feature option is available on all Trainual plans.

  • To export material from Trainual, you'll first need to enable the setting.

  • Admin+ permission levels have the ability to export content from the account. Subject owners can export content too, regardless of their permission level.

  • For more specifics around which pieces of content your employees can access, review their permission levels and subject content access levels.


Save or print content PDFs at the subject level: 

  1. Navigate to the "Content" page from the left-hand menu.

  2. Locate the subject you'd like to export.

  3. Click the three dots to the right of the subject title.

  4. Hit the "Print PDF" option from the drop-down menu.

  5. Click the "Print" button in the populated PDF browser tab. 

  6. Choose how you'd like to process this PDF:
    1. Select "Save as PDF" and follow all remaining system prompts.
    2. Send the document to a connected printer for a physical copy.

       


Save or print content PDFs at the topic level: 

  1. Navigate to the "Content" page from the left-hand menu.

  2. Locate the subject where your topic resides.

  3. Click on the downward pointing arrow to the left-hand side of that subject title and then click on the three dots next to the topic name.
  4. Hit the "Print PDF" option from the drop-down menu.



  5. Click the "Print" button in the populated PDF browser tab. 

  6. Choose how you'd like to process this PDF:
    1. Select "Save as PDF" and follow all remaining system prompts.
    2. Send the document to a connected printer for a physical copy.

       


Export content in bulk: 

  1. Navigate to the "Content" page from the left-hand menu.

  2. Hover over the title of a subject you wish to export and select it by clicking the checkbox that appears.

  3. Repeat step 2 until all desired subjects have been choosen.

  4. Use the pop-up menu choice "Export" and follow all remaining prompts.

Are there multiple places in Trainual to access the "Print PDF" menu option?

Yes! The options to export at the subject or topic level will be through the "Content" page or on a specific subject's overview page.


Can I customize or brand a Trainual PDF export?

Not at this time, but please make your voice heard if this is something you'd like to see in the future by sending over a summary of how this would best benefit you and your team via a feature request submission.


Do I need to export my content before I cancel my Trainual account? 

Yes! If you choose to end your account subscription, your data will be set to be removed from the Trainual system 30 days after the official cancelation date.

🚨 This timeframe is separate from your actual remaining access time to the company Trainual account itself. So, it is imperative that all desired content be exported to an off-site storage location well before you decide to cancel.


Why are my PDF content exports showing up blank?

This is likely happening because only content marked as "Finished" will appear within a PDF export. To troubleshoot, learn more about topic statuses here and update any pieces of content you are running into trouble with. If the issue persists, reach out.
